Register and data protection statement

This is the Register and Data Protection Statement in accordance with The Association for Situational Difficulty in Speaking, Puheeksi Ry, Personal Data Act (Sections 10 and 24) and the EU General Data Protection Regulation (GDPR). Prepared on March 10, 2021

The membership register comprises the following groups of people: members of the Board of Directors, members, and supporting members.

5. The legal basis and purpose of processing personal data

The legal basis and purpose of processing personal data under the EU General Data Protection Regulation Act is

- the legitimate interest of the registrar (membership of the Association).

The purpose of processing personal data is to communicate with members, provide information, develop marketing, and expand volunteering. The information can be used to conduct a membership survey.

The data is not used for automated decision making or profiling.

6. Information content of the register

The following information is stored in the register: person’s name, contact information (email address, postal address), country of residence, reason for joining the Association (relationship, profession etc.), interest in volunteering, fees, date of admission and participation in training by the Association. In addition, the stored information includes whether the person is an actual or supporting member.

The information is retained for the time period of active membership.

7. Regular sources of information

Information stored in the register is obtained from the registration form filled by the person when applying to join the Association. The information can be later supplemented or corrected via email on request.


8. Regular data transfers and data transfers outside the EU and EEA

The information is not disclosed to other parties


9. Registry security principles

The register shall be handled with due care and the data processed by the information systems shall be adequately protected. When registry data is stored on internet servers, the physical and digital security of their hardware is adequately addressed. The registrar shall ensure that the stored data and access rights to servers and other critical information regarding the security of personal data are treated confidentially and only by those people whose job description this work belongs to.

The registrar has taken into use the yhdistysavain.fi- membership register, which has accounted for the requirements of the Data Protection Regulation (GDPR), and all membership data is backed up through this service. Only the membership secretary and the contact person responsible for the register have access to the membership register (IDs).

10. Right of inspection and right to request correction of information

Every person on the register has the right to check the information stored and to request the correction of any incorrect information or the completion of incomplete information. If a person wishes to check or request the rectification of data stored about them, the request must be sent in writing to the data registrar. If necessary, the registrar may ask the applicant to prove their identity. The registrar will respond to the customer within the time limit set by the EU Data Protection Regulation (generally within one month).


11. Changes to the Data Protection Statement

The registrar has the right to change this description. If we change this policy, we will post the changes with dates on the changes. If the changes are significant, we may also inform you of them in other ways, such as by email or putting an announcement on our webpage. We recommend that you use our website regularly and take note of any changes to our description.
